50 German Phrases For Customer Service

support

I recently ordered a nice pullover from an online shop. It was just beautiful, and I had to have it! But the day it was delivered, I could not have been more disappointed. The fabric was too thin, and the colors were kind of faded. 

I guess you are familiar with similar situations.

What to do? 

The best way to deal with this situation is to call customer service. I’m going to show you 

some handy phrases you could use if this happens in Germany, Austria, or some cantons of Switzerland. 

In the beginning, let me introduce you to some basic:

7 Key German Phrases For Customer Service:

  • 🇩🇪 der/ein Kundenservice – 🇺🇸 customer service 
  • 🇩🇪 die/eine Beratung -🇺🇸 a consultation
  • 🇩🇪 die/eine Dienstleistung – 🇺🇸 a service
  • 🇩🇪 ein/das Produkt – 🇺🇸 a product 
  • 🇩🇪 ein/der Einkaufswagen – 🇺🇸 a shopping cart
  • 🇩🇪 eine/die Einkaufsliste – 🇺🇸 a shopping list
  • 🇩🇪 ein/der Kassenzettel* – 🇺🇸 a receipt 

*you might also say ein Kassenbon/ eine Quittung / ein Beleg – there are many words for a receipt in German, but the most commonly used one is “der Kassenzettel”.

Let’s suppose you want to lodge a complaint, return or exchange a product. These Phrases For Customer Service might make the explanation of your request easier for you:

  • 🇩🇪 die/eine Anfrage or die Bitte – 🇺🇸 a request*

*good to know: “die Anfrage” is more like describing the whole process, while you use “die Bitte” when you directly turn to somebody: “I have a request” – “Ich habe eine Bitte”.

And an extra word: der/ein Warentrenner – a grocery divider (did you finish putting your groceries on the cash desk? Do not forget to put the grocery divider behind them!)

So now, it’s great to know these phrases, but wouldn’t it be much better to be able to put them into sentences? Here are some examples:

How to use German Customer Service Phrases in a real-life Situation

Below, you can see an example of a possible dialogue with customer service while returning a pullover.

🇩🇪 Hallo, ich habe ein Problem mit dem Pullover. Ich habe ihn online gekauft.
🇺🇸 Hello, I’ve got a problem with the pullover. I  bought it online. 

🇩🇪 Was ist das genaue Problem?
🇺🇸 What is the problem exactly?

🇩🇪 Mir gefällt die Qualität nicht. Das Material ist dünn. Ich konnte es auf den Fotos nicht sehen.
🇺🇸 I don’t like the quality. The fabric is thin. I didn’t see this in the photos. 

🇩🇪 Ich verstehe. Wollen Sie es zurückgeben?
🇺🇸 I understand. Would you like to return it?

🇩🇪 Ja, gerne. 
🇺🇸 Yes, please.

How to Deal with Customer Service in Germany

Apart from the language, it is good to know a bit of the German culture and how to behave while shopping. So let me give you some advice:

Firstly, always be polite and respectful to other customers as well as to the shop staff. There will always be a shop employee nearby, who will be happy to answer your question. 

Be careful to stay “tidy”. Germans don’t like it when you take many clothes at once into the dressing room or when you leave a mess behind you.

And finally,  don’t forget to wish the cashier a good day when you leave! It’s not usual in some countries, but very important in Germany.

Let us continue with more complex phrases. Here are another ten real-life examples:
